# “Large, complex invoice flow under control”

**Van Duyvenvoorde is a major exporter of flowers and plants. Every year, they process many thousands of invoices, which are also highly complex. With Elvy, processing is twice as fast.**

In 2012, Koos Mark, head of the Financial Administration department at Van Duyvenvoorde, began looking for a software package that would enable the company to post, approve and archive scanned invoices. After comparing a number of software packages, it turned out that Elvy was the best value for money: ‘Most providers offering this sort of solution charge both an initial purchase price and a usage fee. You also pay per invoice. With Elvy Invoice Processing, you can use the system without restriction once you’ve purchased it. That’s a huge advantage for us, as we process between ten and fifteen thousand invoices a year here.’

**Delivering on promises**

Another major advantage of Elvy is that it’s easy to implement. ‘You get the hang of it quickly, and it soon becomes addictive,’ Koos continues. ‘You can very quickly and easily enrich supplier master data in Exact. I reckon Elvy correctly recognises 95 per cent of all 150 suppliers, as well as a great deal of other data on the invoice. What’s more, thanks to the approval tool, you can track the entire process in Elvy and Exact. You can always see straight away who has or hasn’t seen the invoice yet. I reckon we’ve saved at least half the time with Elvy. So we’re very happy with the products, because Elvy delivers on its promises.’

**Complex invoices**

Many invoices consist of several lines. Koos: ‘We still have to enter some of these manually, but that’s still a lot quicker than it used to be. What’s more, we’ve created templates for this in Elvy, which greatly simplify manual entry: we have a different template for each supplier.’ The invoices from the auction are incredibly long and complex. The entire floriculture sector is therefore eagerly awaiting the moment when the auction starts sending XML invoices. ‘I know that the team at Elvy are working hard to establish the integration with that format, so that we’ll soon be able to have those invoices imported fully automatically via Elvy. Then we’ll be making even greater strides with Elvy.’ \*
