# Whereas invoices used to be printed out and entered manually, this process is now automated using Elvy. This saves a great deal of time.

Van As Autoschade is a comprehensive car body repair company that takes care of everything for you. The administration is centralised in Dordrecht. Due to the growing number of branches (now seven) and the high volume of invoices, processing paper invoices was becoming increasingly labour-intensive and virtually unsustainable. Stacks of ring binders, loose documents and manual processes and checks resulted in significant time wastage and a high risk of errors. As a result, the process was also not scalable, which is problematic in times of growth.

***Exploring automation***

To tackle this problem, we decided to investigate what role automation could play and, through an industry peer and an external consultant, we came into contact with Elvy.
We began discussions with Elvy’s consultants to take a close look at our process. It soon became clear that we could make gains in several areas, but also that there were a number of specific processes – crucial to our business – that did not fit a standard solution.

***Initial discussions with Elvy***

The initial discussions with the team at Elvy gave us confidence that Elvy could provide us with a suitable solution. That’s why we sat down with them to work out the details of the process. In doing so, we received sound advice on the best approach for us, as well as on the technical and functional dependencies between our accounts, our ERP system and Elvy for invoice processing.

“By engaging in discussions with Elvy’s advisers, we now have an optimally configured invoice processing workflow, tailored specifically to our business!”

This led to the phased implementation of Elvy. First, the foundation for invoice processing was set up for the invoices that were previously processed manually in Exact Globe. This was followed by the migration from Exact Globe to Exact Online and the process relating to parts invoices, which is particularly important for Van As Autoschade.

“Whereas invoices used to be printed out and entered manually, this is now automated using Elvy. That saves a lot of time,” explains Esther.

***Automation of parts invoices***

“Together with Elvy and Solera, we have set up an automation process for our most important invoice flow: parts invoices from suppliers ordered via SupplyIT. These invoices are received in our ERP system, DW Pro, from where the entries are automatically posted to Exact Online. However, the approval process for these invoices was missing. Naturally, as an organisation, you also want to gain control over this invoice flow.

Working with Elvy’s consultants, we have configured the process so that these invoices are also approved via Elvy before payment is made. This ensures efficient processing, whilst still incorporating the necessary checks!”

***Result***

The result is that more than 30,000 invoices a year are now processed using Elvy. This has not only saved a great deal of time but has also significantly reduced the risk of errors. The digital workflows in Elvy make the work clear and organised, giving us greater control over the process. We have streamlined the process considerably, enabling us to clear any backlogs.

“Even as our business grows and the number of invoices increases significantly, we know that Elvy can handle everything smoothly. That gives us peace of mind and confidence.”

***User experience***

Anything new takes some getting used to for an organisation, but users find the system very user-friendly. Furthermore, a great deal of thought has gone into the software’s design; the system provides a clear reference tool: you can always see what has happened to an invoice and who has given which approval.

The biggest benefit we’ve experienced is that it saves an enormous amount of time. Whereas paper invoices used to pass through the hands of several people and departments, virtually everything is now handled digitally. This not only speeds up the process, but also makes it clearer and less prone to errors.

***Collaboration with Elvy***

Thorough preparation and equal collaboration between the parties involved have enabled us to make significant progress in automating our invoice processing within a short space of time. Elvy’s leading role in this was instrumental to the project’s success.

“As the Autoschadeherstel Group, working efficiently is part of our daily routine. Thanks to Elvy, we have also made significant progress on the administrative front.
Our purchase invoices are now automatically captured and processed digitally, which has eliminated a great deal of manual work and saves us valuable time every day”.

The collaboration with consultants and the support team has been a very positive experience. They actively contributed ideas for solutions and, even when faced with technical limitations of older systems, sought ways to ensure the process still ran smoothly.

***Advice for other organisations***

The most important advice I would give to other companies facing a similar digital transformation is to build support within the organisation. Staff must understand why the new way of working is beneficial and use the system consistently. If everyone follows the same approach and fully embraces the processes, the system really does deliver time savings and greater efficiency.

“Elvy has helped us work smarter, with a collaboration that was pleasant and professional from start to finish, right through to the aftercare.”
