No more searching for invoices, and seamless integration with AccountView.** Occasion Totaal sells over 1,000 cars a year. That generates a flow of around 3,000 purchase invoices. That isn’t a huge number, but it’s enough to cause a great deal of frustration if just one is filed incorrectly or goes missing whilst being copied. Now that Occasion Totaal uses Elvy’s Document Scanning, that’s a thing of the past. What’s more, Elvy is fully integrated with AccountView. **Decisive** Mike Kastrop, one of the owners of Occasion Totaal, searched the internet for scanning and accounting software in early 2011. Before discovering Elvy, he tried out a number of the packages he found there. ‘I found they lacked the user-friendliness and speed that Elvy turned out to have. Another major advantage of Elvy is that they are very responsive. For example, if you request a small change to the workflow by email, you’ll have a reply within ten minutes and a completely new, updated version two days later. With other software providers, this way of working is certainly not a given.’ **Perfectly integrated** In March 2011, Mike was given a demo of Elvy on his PC. ‘I was able to get started straight away and haven’t looked back since. I did wonder beforehand, however, whether the programme could be linked to AccountView. On Elvy’s website, I’d only read enthusiastic reviews from companies using Exact Globe. After some research, it turned out that Elvy integrates perfectly with AccountView, so that concern was quickly put to rest. The staff who approve the invoices are also very happy with the way things work. All staff members have their own budget responsibilities, such as mobile phone bills or advertising. For invoice amounts exceeding a certain threshold, a second approval is required. You can set up all these approval workflows in Elvy. ***‘It works brilliantly and I wouldn’t be without it for anything.’*** **Time savings** Occasion Totaal achieves its greatest time savings through the approval process in Elvy. ‘Once an invoice has been scanned and posted, the staff members who need to approve it receive a message straight away. This workflow saves me about a quarter of an hour per invoice. I no longer have to go round to all the staff members for a signature and then to the archive to file the invoice. And if I want to view an invoice again after payment, I no longer have to go to the archive; with just two mouse clicks, I have all the necessary information on my screen. A great feature of the Elvy software is that all staff can view and approve invoices whilst on the move. That saves a lot of waiting time.’ **A more efficient way of working** According to Mike, the exact ROI is difficult to determine. ‘It’s impossible to put a monetary value on how much time – and sometimes frustration – it saves when you have to go looking for an incorrectly archived invoice. Cost savings aren’t the most important thing for us either. It’s just much more pleasant to work with: it gives us the ease of use and efficiency that are indispensable to our organisation, and we wouldn’t want to be without it for anything in the world. I’d even recommend Elvy to someone who only sends a thousand invoices.’
