# “We deliberately opted for a comprehensive solution”

**MKB Assist provides administrative and tax services to self-employed professionals and SMEs. The seven staff members can no longer do without Elvy. It enables them to enter the 40,000 invoices they process each year much more quickly than before. What’s more, they now have a much clearer overview. Owner and founder André van der Weijden chose Elvy primarily because of its integration capabilities and the way it works.**

‘A few years ago, we noticed that more and more clients were starting to submit invoices electronically,’ explains André van der Weijden. ‘We had to print out all the invoices sent by email and enter them manually. We had to attach PDFs separately when posting entries. It was all very cumbersome. What’s more, as an accountancy firm, you have no choice but to go digital. If you don’t, you won’t have a reason to exist in a few years’ time.’

**The right solution**

André set out to find a scanning solution that could be integrated with SnelStart: ‘There were several packages with an integration option, but only Elvy offered a direct integration and fitted in with the way of working we had in mind. Furthermore, I only work with software companies that have been around for a while and which give me the impression they’re here to stay. I consider continuity of service to be very important.’

**In-house control**

Another reason for choosing Elvy was that MKB Assist wanted to be able to scan the documents in-house. André: ‘Other suppliers offered to upload the documents to an external party, who would process the scans at their own premises. I didn’t see that as an option. After all, we have the knowledge of the client to assess invoices properly and want to retain the overview and control over them ourselves. Now we get to see all the documents ourselves and process them ourselves. Elvy automatically generates an entry for each invoice, and all we have to do is approve the entry. Elvy is so well integrated that it seems like part of the accounting software, but it isn’t.’

**Much faster approval**

MKB Assist is also in the process of implementing Elvy’s approval module for certain clients. André: ‘Since we’re scanning all invoices anyway, we can offer digital authorisation. For example, we serve a large number of charitable foundations. The board members are often spread across the country. If you have to send them all by post, there’s always bound to be an invoice left lying on a desk somewhere. It can sometimes take months before an invoice – complete with all the necessary authorisations – is returned to us. With Elvy, we receive the invoices, scan them, and they’re then automatically sent by email to all board members for approval. That saves a lot of time!’

**Convenient for both clients and the firm**

André wants to introduce the approval process in phases. ‘We’re starting with a pilot group of five clients. We want to gain some experience with this first and see how it goes. But I can already tell that we’re meeting a growing need here; particularly among organisations with multiple branches or departments and charitable foundations. We recently secured an organisation comprising 15 sports clubs as a client because we were able to offer them a digitised invoicing process. It’s also a major advantage for us, as we too gain much better insight into where an invoice is and what its status is.’

**Taking some getting used to**

Of course, staff had to get used to the new way of working at first. ‘Any change inevitably brings with it a bit of grumbling,’ says André. ‘But in the end, they all say: “I can’t believe I ever worked any other way.” Now they can all see the time savings and the convenience of getting things sorted out much more quickly. At first, it felt a bit strange having Elvy match the invoice to the accounts for you. Entering invoices manually did give a greater sense of control, but it also carries a higher risk of errors. Over time, you realise that the matching process always goes smoothly and you know what to look out for and what to ignore.’

**Area for improvement**

At first, the staff at MKB Assist still needed to contact the helpdesk from time to time. ‘Now we only ring them very occasionally, as we’re more familiar with the product. But when we do ring them, they always provide excellent support. We save the technical bits for later. Someone comes round to sort those out every now and then. I thought creating a new client should be simpler: fewer steps, but I’ve heard they’re already going to implement that. Apart from that, I can’t think of any areas for improvement.’

**Fully automated**

André can wholeheartedly recommend Elvy. ‘Actually, I’d like to say: I wouldn’t recommend it to anyone, to prevent our competitors from being able to work as efficiently as we do. It’s difficult to quantify exactly how much efficiency has improved, but everything certainly runs a lot faster now. We deliberately opted for a comprehensive solution that could be fully integrated into our automation workflow: this runs from authorisation to tax return software. The biggest advantage, therefore, is that we can now handle a large digital workflow with ease.’
