# Mourik

**Mourik, a family-run business, is a B2B service provider specialising in infrastructure, industrial services, non-residential construction and the environment. Ninety years after its foundation, Mourik is a company with a turnover of over 532 million euros and more than 2,000 employees worldwide. Rick Halve – responsible for process optimisation and business IT for the Mourik Global division – has now been working at Mourik for around 35 years. Drawing on his background as a Controller, he was one of the driving forces behind optimising the invoice processing process across all branches worldwide.**

**Optimising the invoice processing process across all branches**

Tackling this process was quite a challenge, as the company has branches worldwide; from Aruba to Germany and from the US to Qatar. “Years ago, we chose Exact Globe as our financial software package. When it comes to software implementations, it is important to us that the software supports multiple languages and international legislation,” says Rick.

As well as OCR and a workflow management module, the new invoice processing software also needed to integrate with Exact Globe. “Normally, we build the integration between our various packages ourselves when no off-the-shelf integration is available. We chose Elvy partly because of its language module and because the integration with Exact Globe had already been developed, which made things much easier,” explains Rick.

Before we started working with Elvy, invoice processing in Exact Globe was still carried out the traditional way. Invoices were manually recorded by colleagues and stored in local archives. It was a time-consuming process that could have been more efficient. That’s why we decided to digitise the invoice processing workflow, with the help of Elvy.

**Matching purchase invoices with purchase data from Exact Globe**

“We have a dedicated mailbox for each accounting department, from which Elvy retrieves the incoming invoices. For expense invoices, a booking proposal is simply generated. A major benefit for us is that purchase invoices are matched against the purchase orders from Exact Globe. This matching means we don’t have to manually check invoices against purchase orders. That makes our work much more efficient! For us, the next step is to add the existing ‘automatic approval’ feature when a match is found. This will allow us to work even more efficiently,” says Rick.

**The global impact**

As mentioned earlier, adapting business processes on such a large scale is a challenge. This is particularly true in countries where digitalisation isn’t yet high on the agenda, Rick noted. Fortunately, his colleagues who process the invoices are increasingly finding that digitalisation and automation are paying off.

Colleagues at the overseas branches are also approving invoices using Elvy, and this is going well. Rick hardly ever hears any comments or reports of problems regarding Elvy’s functionality. “That’s a good sign!” he says enthusiastically. “I’m pleased that Elvy also adds an extra approval step involving the Controller and Management in the Netherlands when, for example, certain supplier details change. Just that extra check! Features like this are really a must for any organisation with branches elsewhere.” Combined with Elvy’s web application and the mobile app, invoices can be reviewed and approved from anywhere.

**A sense of control and internal oversight**

As already mentioned, all invoices used to be stored offline in paper archives and, to some extent, digitally on local servers. With Elvy, all invoices are stored digitally in Exact Globe alongside the accounting records. As a result, the invoices are centrally accessible and securely archived. That gives a sense of control and internal oversight!
