# MCM Machine Works

**MCM Machinefabriek B.V. is a family-run business in the high-tech manufacturing sector and a specialist in complex metal products and assemblies. The organisation has been working on digitising its administrative processes for many years. Whereas invoices and delivery notes used to be processed, printed and physically filed manually, this process is now largely carried out digitally via Elvy.**

**By combining digital invoice processing with document archiving, MCM has gained better control over its administration. The team now processes over 6,000 invoices a year, compared with around 2,500 previously. This growth has been accommodated without a corresponding increase in the workload on the administration team.**

**The transition to a digital process**

Before Elvy was introduced, processing invoices and delivery notes was a time-consuming process. Invoices were printed and stored in folders, and when checking them, the corresponding delivery note had to be looked up manually. Archiving also took up a great deal of time: dozens of folders were added each year, and retrieving documents meant either searching through them physically or asking the accounts department for help.

This not only created extra work but also caused interruptions. Colleagues in departments such as production or dispatch were dependent on the admin team for information, which meant work regularly came to a standstill.

With Elvy, this process has been digitised and consolidated into a single environment. Invoices are processed digitally and delivery notes are scanned at various points across the organisation and stored centrally via document archiving. As a result, documents are immediately available and easy to retrieve.

**The results**

The switch to Elvy has, above all, provided a clearer overview and a more efficient way of working. The accounts department spends less time searching and carrying out manual tasks and can focus more on checking and processing.

In addition, digitisation has enabled MCM to keep pace with the increasing number of invoices. Whereas previously around 2,500 invoices were processed per year, this figure now stands at over 6,000. This higher volume has remained manageable thanks to the digital workflow.

The key practical benefits:

- Less time spent searching: invoices and delivery notes are immediately available digitally

- Better overview: all documentation is stored centrally

- More efficient working: printing, filing and manual searching have largely been eliminated

- Better collaboration: colleagues can view documents themselves and access them digitally

***“Thanks to digitisation with Elvy, we now process over 6,000 invoices a year, without increasing the workload on the admin team.”***

**Document archiving in practice**

As well as invoice processing, document archiving plays a key role within MCM, particularly for managing delivery notes. By scanning documents and recognising them based on label and order form details, they are immediately linked and stored in a structured manner.

This makes it easier for various departments to retrieve and verify information. Staff need to involve the admin team less often and can consult documents independently whenever necessary. This results in fewer interruptions and a smoother process.

**The partnership with Elvy**

MCM is also positive about the partnership with Elvy. Enquiries are dealt with promptly, and the helpdesk actively contributes ideas when questions arise or changes are needed in the process.

In addition, the customer portal is seen as a useful addition, for example for manuals and practical information. Where necessary, personal contact can be arranged quickly.

**Looking ahead**

The positive experiences with Elvy have prompted MCM to look into further digitalisation. Internally, the company is exploring, amongst other things, the automation of other processes, such as order processing. The foundation laid with invoice processing and document archiving plays an important role in this.
