# Havecon

**Havecon develops and delivers modern greenhouse horticulture projects for clients worldwide, with a focus on Europe and North America. From the initial concept through to after-sales service, Havecon supports clients at every stage of the construction process. To ensure that its internal administrative processes were also ready for scalability and speed, Havecon decided to modernise its purchase invoice processing. This step had an immediate and noticeable impact on efficiency, clarity and job satisfaction within the finance department.**

**The challenge: A maze of paper files**

Before Elvy was introduced, financial administration at Havecon was a completely manual, paper-based process. Niels, Financial Controller, still remembers the situation clearly when he joined four years ago: “Invoices did arrive by email, but we printed everything out. We’d stamp them, write the numbers on them by hand and post them to the accounts. The invoices would then be physically moved from one folder to another: from ‘posted’ to ‘approved’ and finally to ‘paid’.”

This posed enormous challenges, particularly at the end of the financial year or during payment cycles. Jack, Finance Manager at Havecon, adds:

***“It was a massive hassle. If we wanted to make a payment, we had to track down all those invoices. Because they could be spread across five different folders, it would easily take three hours to get everything together. You really dreaded that pile; to be honest, it just made me grumpy.”***

**The solution: A reliable tip from the accountancy world**

The search for a solution began within Niels’s circle of trusted contacts. Thanks to his background in accountancy, he sought advice in a WhatsApp group with fellow professionals. Elvy emerged as a strong recommendation via a satisfied client of one of his contacts. After comparing them with other providers, the positive impression made during the initial conversation proved decisive.

The implementation went smoothly and took just two days. Although Havecon switched in the middle of the peak season (8 November), the impact on business operations was minimal. Even staff with less affinity for computers got to grips with the system straight away. “It’s a very user-friendly package,” says Jack. “It hasn’t been made too complicated; it does exactly what it’s meant to do.”

**The results: Efficiency and job satisfaction**

- The switch to Elvy has delivered immediate, tangible results for Havecon:

- Time savings: A payment run that used to take three hours is now completed within half an hour.

- Better control: Invoices are approved more quickly thanks to automatic reminders and the ability to access the correct invoice directly from an email with a single click.

- Flexibility: “If I’ve got ten minutes to spare before my break, I can easily process thirty invoices,” says Jack enthusiastically.

- Archiving: The physical archive is a thing of the past; every invoice can now be retrieved within seconds and compared with previous entries from the same supplier.

Niels sums up the change:

***“It’s really made our work more enjoyable. In the past, you almost felt ‘silly’ if you spent another ten minutes rummaging through files looking for a single invoice. Now, it’s so convenient and efficient that I wonder how we managed to stick with the old way for so long.”***

**The partnership: Direct lines of communication and seamless integration**

The collaboration with Elvy is viewed very positively, partly because the system simply does what it promises. “We’ve actually hardly needed any support, and that’s the best sign,” laughs Niels. Minor technical adjustments relating to Havecon’s specific ‘obligation logic’ were quickly resolved, meaning the process is now fully tailored to their way of working.

**Advice for other companies**

With around 5,000 invoices a year, the maths is simple for Havecon. Saving a few minutes per invoice adds up to a huge benefit. Niels’s advice to companies still on the fence is therefore straightforward:

***“Switch over as soon as possible. Don’t worry that it will throw your administration into disarray; for us, it went smoothly. The feeling that you need to physically ‘hold on to’ the invoice to maintain control disappears very quickly once you see how easy and reliable this works.”***
