# “Well prepared for the future”

**At Florys, they like to make things as easy as possible for their clients. That’s why they use Elvy. They use it to manage not only their clients’ accounts but also Florys’ own. ‘It’s brilliant,’ says Marco Visser, director at Florys. ‘I can authorise invoices on my iPad at home in the evening.’**

At Florys, they don’t believe that administrative work has a future. After all, it can be fully automated. ‘But there are countless providers of scanning and recognition software,’ explains Marco Visser. ‘We invited three of them for a meeting. Elvy stood out because of their no-nonsense approach. They don’t have a high-pressure sales pitch, but a clear message. The contact is pleasant and personal. We purchased the two modules at the end of 2014. At the start of 2015, we migrated our customers to the new system.’

**Much simpler**

To this day, Marco remains very satisfied with Elvy. Florys’ staff process the accounts for a large number of clients. Marco: ‘The clients scan their invoices themselves and email them to us at a dedicated email address. On the rare occasion that we still receive a paper invoice, we scan it ourselves. Elvy recognises the sender and knows which account the invoice should be posted to.’

**Shorter authorisation period**

They use ElvyWeb for clients who have all their invoices sent directly to Florys. ‘These are first posted and then submitted for authorisation. Every day, the client receives an email overview of the invoices they need to authorise. If the invoice is incorrect, the client rejects it. This is recorded in the accounts, so that the invoice cannot be paid. The client then contacts the supplier to discuss the error. If the client approves the invoice, we pay it directly from the financial accounts. Both the invoice and the authorisation are stored alongside the entry in the general ledger. If the customer does not process an invoice straight away, they will find it in the overview again the following day. We have noticed that this significantly shortens the authorisation period. What’s more, an invoice can never go missing again.’

**No downsides**

Florys has been using Elvy for quite some time now. Marco: ‘To be honest, I can’t think of a single downside. And that’s despite the fact that we look at the process very critically; which just goes to show how enthusiastic we are about Elvy. My colleague does occasionally ring the helpdesk. He’s very positive about them: his queries are always answered the very same day. The programme is so intuitive that I have no hesitation in recommending it to our clients. We’re currently in the process of implementing Elvy for a client. It’s a fairly complex business with lots of staff who need to approve invoices. Whenever I ask about specific features, it turns out they’re all possible. So the programme fits in well with real-world practice.’

**Eager to improve**

The corporate cultures of Nederpelt – the makers of Elvy – and Florys are also a good fit. ‘I particularly appreciate the eagerness with which they want to improve their product. When we, as everyday users, come up with suggestions for improvement, they say: “Oh yes, that’s useful.” And then they get to work on it straight away. If they can’t use it, they explain why not.’

Marco highlighted another area for improvement at the Elvy innovation meeting last spring. ‘It all works very simply and intuitively, but some buttons aren’t yet in the most logical place on the screen. When you raise a point like that, they don’t immediately get defensive, but actually act on it. I really appreciate that. Together, you make the software better and arrive at the best product, which allows you to serve your clients as effectively as possible.’

**Less hassle**

At Florys, seven people work with Elvy. ‘They got to grips with it very quickly. A colleague who joined us last year has been working this way from the start and so doesn’t know any different. She recently visited a client where a lot is still done manually. She was surprised by the amount of work and the red tape involved in the paper-based method. Yet that’s still the norm at many companies.’
