**Beslist.nl is the go-to partner for online shops’ digital marketing departments. As a digital marketing service provider, they drive growth in customer numbers, turnover and market share. To remain the leading digital marketing service provider, Beslist.nl works with a wide range of suppliers of supporting products and services. Since 2015, they have been using Elvy Invoice Processing to keep their invoice flow running smoothly. ‘It saves an enormous amount of time and legwork.’**

Fast invoice processing is part of good relationship management. ‘We always pay our incoming invoices on time, so that suppliers know where they stand. What’s more, it strengthens our relationship,’ says Kevin Janssen, Head of Administration and responsible for accounts payable and receivable management. ‘Thanks to Elvy, we almost always manage to do that.’

**Seamless integration**

In the Administration department, Kevin and his colleagues process around 2,000 purchase invoices a year. ‘Elsewhere in the company, a number of people use Elvy Procurement Management and Elvy Contract Registration; we mainly use Elvy Invoice Processing,’ explains Kevin. ‘We receive most invoices by email. Elvy is seamlessly integrated with our financial software: Unit4 Multivers. Elvy recognises the supplier, fills in the relevant fields where necessary and ensures the invoice enters the correct approval workflow. That process works very well.’

**Smooth workflow**

Every morning, the approvers at Beslist.nl receive an email overview of the invoices ready for approval. ‘For us, the length of an approval workflow depends on the nature of the invoice,’ explains Kevin. ‘The longest workflow involves six to seven approvers. Most invoices go through three or four people, usually buyers and managers. Once approved, the invoice is automatically forwarded to the next person. Each approver receives a notification by email from Elvy: ‘You still need to approve this invoice.’ Previously, we had to keep track manually of who had or hadn’t seen an invoice and where an invoice was at any given time. This saves a great deal of time.’

**Correct sequence**

Wouter Knoop, the financial controller at Beslist.nl, ensures that the approval workflows are set up correctly. He designates who is responsible for approving which invoices and links them to the relevant accounts departments. ‘I grant the right people the right permissions. So only those at Beslist.nl who are authorised to view an invoice are granted access. I also set up the workflow so that the invoice passes through the approvers in the correct order. They can easily consult with each other about the invoice via comments. That works very well.’

**Don’t reject too quickly**

If one of the approvers spots something unclear in the invoice, they can send it back with a comment. ‘That prevents an invoice from being rejected too quickly,’ explains Kevin. ‘Once all approvers have approved the invoice, it is posted to the correct ledger in Unit4. From that point onwards, you can also view the invoice very quickly and easily, along with any comments and attachments. All of this ensures that the entire procurement process runs more smoothly.’

**Quick status overview**

If a supplier calls to ask why their invoice hasn’t been paid yet, Kevin and his colleagues can now quickly see where the invoice is in the workflow. ‘In the comments, you can see why the invoice hasn’t been paid yet. For example, because there’s still some uncertainty about the cost item. In the past, we first had to trawl through files, looking for the invoice in question. Once we’d found the invoice, we’d have to ring to find out why it hadn’t been approved. This is much quicker. We can now see the full approval status within a minute.’

**Even more efficient**

Last year, Wouter attended an Elvy user training session with Mariëtte, a colleague from the finance department. ‘They offer these free of charge,’ says Wouter. ‘We were given an explanation of the new tools within the package. They also taught us tips and tricks for using it even more efficiently. Such as a more convenient screen layout and the option to call up extra information using the right mouse button. Especially if you work in Elvy a lot, it’s nice to be able to work even more efficiently. That quickly saves you time. I also enjoyed getting to know the people behind Elvy for a change. Because it works so well, we rarely need to contact them. We’re happy with Elvy.’

**Well-organised package**

Wouter enjoys working with Elvy: ‘It’s a clear, well-organised package with easy-to-understand icons and buttons. It’s a pleasure to use and runs quickly; I’d recommend it to anyone. At my previous employer, we also used a similar system, but I find the approval workflow in Elvy very clear. You can easily add approvers or change the workflow.’

**No areas for improvement**

Kevin also wholeheartedly recommends Elvy. ‘I can’t really think of any areas for improvement. We’ve needed very little help since the training on setting it up. Only in the rare instance that an invoice isn’t forwarded automatically and we can’t work out why ourselves do we contact the helpdesk. They help us quickly, and the issue can always be resolved remotely. It usually turns out to be down to our server, not the software. But actually, it always runs smoothly.’
