If so, you’ve probably found yourself in a situation where invoices go missing or you have no idea what the approval status of an invoice is. This is very easy to check using the audit trail that Elvy generates for every invoice. This can be done for every invoice, or, for example, by receiving a daily overview of the purchase invoices awaiting approval. You decide the frequency at which the approver is notified. If an invoice remains in circulation for longer than planned, various actions can be taken. For example, the approver’s manager could handle this invoice. ### Approval via the website or app You can easily approve invoices via the Elvy App or via your browser, whichever you prefer. In both cases, you can approve invoices digitally from anywhere and have immediate access to the PDF of the invoice and the accounting details. You can then approve, reject or forward invoices to a colleague at the touch of a button – for example, if you have a question about the invoice. You can also easily add attachments and notes. There are plenty of options! ### Elvy chooses the car dealer Elvy selects the approver based on the booking details, such as the general ledger account, cost centre, cost object and project manager. Amounts can also be taken into account to determine who needs to provide (additional) approval. In addition, it is possible to approve invoices sequentially or simultaneously, depending on how we set up the system for you. With this method of approval, the administrative staff member does not need to worry about whether the correct people are presented with the invoice for approval. Elvy handles this automatically based on the invoice’s coding. Would you still prefer to retain control over who approves invoices? Of course, that’s also possible. ### Payment held up Once the invoice has been processed via Elvy, it is immediately posted to the accounts. The entry is then blocked for payment. Has the invoice been fully approved? If so, this block is automatically lifted and the invoice can be paid directly from the accounting software. The advantage of this is that your costs are kept more up to date in your accounts and you can prepare your VAT return sooner. ### Automatic approval following a three-way match Do you process a lot of goods invoices? If so, there’s a good chance you’ll need three-way matching. In Elvy, it’s even possible to generate an automatic approval when there’s a full match with the purchase order.
